Urgent Orders for Medical Devices: A Field Guide for Ostomy Care, Biosafety Cabinets, Mobility Scooters, and Ablation Catheters

Here's a field guide to the four most common urgent scenarios, and how to handle each one.

Before Anything Else: What Kind of Order Is This?

I've found it useful to split urgent medical product requests into four buckets:

  • Patient consumables — ostomy, continence, and wound care products like Coloplast Assura ostomy care.
  • Capital equipment with installation and validation — biosafety cabinets, sterilizers, ventilators.

And you definitely shouldn't rush a single-use catheter without checking lot traceability.

Scenario A: Urgent Ostomy Care — Yes, the Official Website Matters

The most common urgent request I get is something like this: a patient is being discharged in two days, and the home-care nurse just realized the patient needs a different colostomy pouch. The family is panicking. The nurse wants the product tomorrow.

If you are looking for Coloplast Assura ostomy care specifically, the fastest reliable route is usually the Coloplast official website or an authorized distributor listed there. That sounds obvious, but I can't tell you how many times I've watched a buyer skip the official source and go to an online marketplace first because of a fast shipping promise.

Here's the issue: with a medical device, fast isn't just about delivery. It's about making sure the lot number is valid, the expiration date is right, and the packaging hasn't been compromised. A third-party marketplace listing might not have the same lot-control standards. If a product sits in someone's garage for six months, no two-day shipping fixes that.

Counterintuitive as it sounds, buying from the official source is often faster in practice. They have the product in a regulated warehouse, they already have your account or can set it up in an hour, and they can tell you exactly which SKU matches the prescription or the care plan. I want to say we processed one of those orders in under four hours from first call to dispatch, but don't quote me on the exact timeline. (Should mention: we'd already sent the patient's clinical paperwork to the distributor, which saved a full day.)

In March 2024, 36 hours before a discharge, a nurse coordinator called about an emergency order for Assura one-piece drainable pouches. Normal turnaround was two business days. Scenario B: Biosafety Cabinet — The Fastest Way Is to Slow Down

Now suppose the urgent request is a biosafety cabinet. The lab is about to lose a grant-funded project because the new cell culture room isn't ready. The principal investigator wants it shipped overnight.

Don't. I mean it.

Unlike an ostomy pouch, a biosafety cabinet isn't plug-and-play. It has to be installed, balanced, and certified. The room needs the right exhaust, the right clearance, and often a certification visit after installation. NSF/ANSI 49 is the standard for Class II cabinets, and most facilities won't sign off on a cabinet that hasn't been performance-tested on site.

The question everyone asks is What is your fastest lead time? The question they should ask is Has anyone checked the room dimensions, the electrical supply, and the exhaust capacity? If those haven't been confirmed, the fastest possible shipment is still going to result in a cabinet sitting in a hallway.

In my experience, standard lead times for a good biosafety cabinet are 8–14 weeks. Some vendors offer expedited delivery at 4–6 weeks, but that still requires an existing order, a completed site survey, and a slot in their production schedule. You don't call on Monday and get it Wednesday. The counterintuitive move is to spend the first day on technical qualification, not on shipping. Get the site survey done, then ask the vendor what they can honestly do.

To be fair, there are times when a short-notice cabinet order works—if it's a temporary unit from a rental fleet, or a refurbished unit that's already been recertified. But that's a different product, not a faster version of the same one.

Scenario C: Mobility Scooter — Rent the Bridge While You Buy the Destination

Urgent mobility equipment is the one I see people make the biggest pricing mistake on. A patient is being discharged, they need a mobility scooter to get around at home, and the family wants to order one today.

The mistake: buying the cheapest scooter you can find online and having it shipped overnight. Two problems. One, cheapest often means the scooter is too heavy, too wide, or has a turning radius that doesn't work in a standard bathroom. Two, the patient's insurance may cover part of the cost, but only with a face-to-face evaluation and pre-authorization that takes days or weeks.

What actually helps the patient is a bridge. Rent a scooter for the first week or two while the proper purchase gets approved and delivered. In one case last quarter, we processed 47 rush orders with 95% on-time delivery, and the scooter rental was the one that taught me this: the rehab center needed a scooter in 48 hours, but the funding approval wouldn't come for 10 business days. We rented a lightweight, narrow-base model for two weeks, the purchase order cleared, and the patient got the right device instead of the first device. The rental cost $180. The wrong scooter would've cost $1,800 and a restocking fee.

If you're the one ordering, don't skip the measurements. Doorway width, storage area, and the patient's ability to transfer matter more than the color or the top speed. And if you're only ordering one scooter for one patient, that's fine. Good suppliers don't treat you differently because it's a single unit.

Scenario D: Ablation Catheter — Urgency Starts Long Before the Call

Ablation catheters are a different animal. They're single-use devices, they're sterile, they have lot numbers, and they're often procedure-specific. You can't just call a distributor and say send one overnight unless you already have a purchasing agreement, a consignment inventory arrangement, or a standing order.

This is where the urgency is built into the relationship. If your hospital or clinic doesn't have an account with a supplier of interventional devices, the fastest possible order is still going to involve credentialing, a credit application, and a lot of back-and-forth about product specifications. That's not the vendor being difficult. It's the FDA and the manufacturer requiring traceability.

The smart move is to set up the framework before you need it. Know which catheter your electrophysiologist uses, know the catalog number, know the minimum storage temperature requirements. Keep a backup in a monitored supply room. On a just-in-time basis, the provider who's already in your system will do a much better job for you than a new supplier you found at 4pm on a Friday.

I get why people think a rush order is a test of a supplier's speed. It's actually a test of preparation. For a high-risk single-use device, there's no emergency improvisation. There's only the system you built when you weren't under pressure.

How to Know Which Scenario You're In

When an urgent request lands on your desk, run it through three questions:

  1. Who uses it? A patient at home, a lab tech, a surgeon, a nurse? If a patient will touch it directly, you need the clinical paperwork to match.
  2. Does it need validation? If it plugs in, ventilates, or goes inside someone, it needs testing, certification, or traceability.
  3. What happens if it arrives late? For a discharge, the answer is a confused family. For a biosafety cabinet, a project delay. For an ablation catheter, a postponed procedure. That tells you how much buffer to build in.

If you're still not sure, ask the supplier the question most buyers skip: What is the one thing that can delay this order after it ships? Whatever they say—installation, lot verification, credit check, missing paperwork—that's your real bottleneck.

In my experience, the best emergency plan is the one you set up before the emergency. A good supplier will tell you that too. And the ones who treat a one-off order as seriously as a five-figure contract are the ones worth keeping on your list. When I was starting out, the vendors who treated my $200 orders seriously are the ones I still use for $20,000 orders.
